Usage insights
Usage insights show how a workspace’s apps are used: how many people opened each one, how often, when it was last opened, and which apps nobody opens any more. Use them to show that the tool is worth keeping, and to find apps to tidy up.
They’re on every plan. The workspace’s owners and admins see them, and so do members whose custom role has audit.view. An app’s owners see their own app’s last 30 days.
What’s counted
Section titled “What’s counted”Insights are counted from the audit log: every request a signed-in person sent to an app that reached it. Each workspace is counted once an hour, so the numbers can be up to an hour behind. The page says when they were last updated.
- People are the different people who opened an app.
- Opens are visits. A visit is someone’s first request to an app, or their first after 30 minutes without one. A page that loads 40 files is one open, not 40.
- Guests are people who opened an app but aren’t members of the workspace: someone an app was shared with by email or by domain.
- People who deployed counts the people who deployed a version in the window.
Bypass tokens, agents, scheduled jobs, webhook deliveries and requests to public paths aren’t people, so they aren’t counted. Neither is a refused request or a sign-in. Days are UTC.
Insights keep only each person’s email, the app, the day and two counts. They hold no IP address, path, device or browser. Everyone who sees them can already read the same requests in the audit log.
In the dashboard
Section titled “In the dashboard”Open the workspace and go to Insights. Pick 7, 30, 90 or 365 days. The page shows:
- people, opens, apps opened and people who deployed, each against the same number of days before when the counts go back that far,
- a chart of how many people opened an app each day,
- each app with its people, opens, last opened and owners,
- the people who opened them, most opens first, with guests marked,
- Not opened in 30, 60 or 90 days: apps made before then that nobody has opened since,
- Owner left: apps whose owners have all left the workspace, or were turned off by your identity provider over SCIM.
An app that nobody opens may still be needed, so the page only lists it. Give it a new owner on its Sharing tab, or delete it (Restore a deleted app says what can be undone).
An app’s Activity tab shows its own people for its owners.
Download a CSV
Section titled “Download a CSV”Apps CSV and People CSV save a file each for the days you picked:
app,name,people,opens,last_opened,created,owners,owners_leftperson,app,opens,days,last_opened,guestThe first has a line per app. The second has a line per person and app they opened, up to 100,000 lines. Times are RFC 3339, in UTC. Owners are separated by spaces.
From the CLI
Section titled “From the CLI”jiayang insights acmejiayang insights acme --days 90jiayang insights acme --app payrolljiayang insights acme --csv people > people.csv--json prints the same JSON as the API. --csv apps and --csv people print the two CSV files. An app’s owner who isn’t an owner or admin of the workspace passes --app.
From an agent
Section titled “From an agent”The MCP server’s usage_insights tool returns the same JSON. It only reads. The plugin’s insights skill tells the agent to suggest what to do with an unused app and leave the choice to you.
From the API
Section titled “From the API”GET /v1/workspaces/<workspace>/insights takes:
| Parameter | What it does |
|---|---|
days |
7, 30 (the default), 90 or 365. |
app |
One app, by slug. |
format |
json (the default) or csv. |
kind |
With format=csv: apps (the default) or people. |
The answer has totals, previous (the same totals for the days before, or null), series (a day each), apps, people (at most 200), unused (for 30, 60 and 90 days) and since, when counting started. An unused entry with ready_on means the counts don’t go back that far yet. One with locked is past what your plan looks back on.
How far back
Section titled “How far back”| Plan | Insights look back |
|---|---|
| Free | 30 days |
| Team | 90 days |
| Business | 365 days |
| Enterprise | 365 days |
Each plan counts up to a number of people-and-app pairs a day: 500 on Free, 1,000 on Team, 2,500 on Business and Enterprise. Few workspaces come near it. On a day past it, the requests of anyone not counted yet that day are left out, and the page, the CLI and the API (capped_days) say on how many days that happened.
Counting started when insights shipped, from the oldest requests the audit log still held then, so the 60 and 90 day lists fill in over time. Insights are kept as long as the audit log is: 3 months on Free and Team, 12 months on Business and Enterprise. A legal hold keeps them too. An app deleted for good takes its counts with it.
